The purpose of this position is to serve as the Customer Service, Work Order Clerk in the Engineering Service. This position provides primary administrative support to the varying sections under Engineering (i.e., Projects, Biomedical Engineering, Maintenance & Repair, Safety, Emergency Management, Interior Design, Transportation, Capital Asset Plan Execution, and all Engineering Outpatient Clinic functions). The incumbent collaborates with staff in handling work orders, keys, purchasing, preventive maintenance, etc. for the Gulf Coast Veterans Health Care System (GCVHCS). This position maintains physical files and/or electronic files and functions as the liaison between the facility staff and service staff, maintains billing records; prepares required budgetary documents for the service, enters appropriate billing information into an Access database for internal tracking purposes; coordinates necessary services and/or purchases with vendors; prepares documentation for procurements; and performs any other related work assigned by the Supervisor.

- Provides a wide variety of administrative tasks for assigned service supporting work performed within the service.
- Validates, assists, advises, and consults with other organizations on matters such as equipment, work orders, and maintenance programs.
- Gathers information necessary to manage and document work-orders for preventive maintenance, emergency or routine repairs, key or lock repair/installation, or remodeling and upgrading buildings.
- Enters time to include overtime or compensation time, posts daily timesheets, completes corrections as necessary and maintains records of time keeping events for six years.
- Documents costs of labor and materials, maintenance, services, tools, rentals, etc.
- Functions as the key point of contact and is responsible for performing telephone and written communications regarding work orders for medical center.
- Procures supplies (tools, material, etc.) not to exceed the micro-purchase threshold established locally by the Government Purchase Card Program Manager.
- Calls vendor and sales associates to confirm specifications required on supplies, material, etc.
- Researches sources to comply with procurement regulations, like the Federal Acquisition Regulation (FAR), and mandatory sources requirement to meet the medical centers requirement of small business utilization.
- Reconciles and verifies orders with the credit card statement within guidance of set policies and procedures.
- Performs duties as the Contracting Officer?s Representative (COR) and has responsibilities, which involves the monitoring of performance contracts, approval of invoice payment, and/or equipment warranty service.
- Assigns work orders, as necessary, to the appropriate service/section.
- Performs clerical tasks, such as telephone answering, receiving visitors, typing and filing as needed.
- Receives telephone calls; screens requests according to priority and refers inquiries to appropriate sources and/or shops.
- Maintains suspense record on all correspondence and follows up to ensure timely replies.
- Uses a data base program and files to maintain a key control program for all facility personnel.
