- The Office Receptionist – Front serves as a vital contact for physician office employees and providers by communicating to patients in a friendly professional manner. This position requires a very strong emphasis on oral communication, excellent telephone and customer service skills, and a willingness to interact with the public. Demonstrates the ability to organize and plan daily work with completion requirements. Maintains the integrity of patients accounts receivables. Major Duties: Meets organizational expectations as defined by the Employee Standards of Performance, hospital and department policies and procedures, and the hospital's strategic goals. Verbalizes a clear understanding of continuous quality improvement and customer satisfaction measures and actively participates in improvement initiatives. Demonstrates cooperation and support in engaging staff with teamwork. Responsible for the timely and accurate entering of patient demographic data for the SMH Physicians Network regardless of payer. Enters and review the patient's basic demographic data, insurance information in compliance with HIPPA guidelines. Ensures daily and accurate payment posting of patient co-pays payments upon initial contact with patient. Collects payments from patient upon check-in for insurance co-payments and identifies patient co-pays and deductibles per assigned insurance contracts. Calls patients the day before their appointment and reminds them of any balance due if payment is required for visit. Scans all patient demographic data and insurance cards using HIPPA guidelines and attaching data to patient's records. Schedules and/or reschedules appointments for patients using the appropriate physician template. Assists in printing or copying medical record requests. Verifies patient information and insurance information utilizing SMH Physician Network logins/passwords, preferably the day before patients visit. Verifies benefits on patients as well as obtaining pre certification or authorization when required. Demonstrates responsiveness and follow through. Demonstrates planning, organizing and problem solving and assists in the implementation of the solutions. Attends training for staff development. Works with and manages physician office and insurance company vendor relationships as necessary. Demonstrates good customer service and proper management of the Customer Service area and staff. Maintain Patient Accounts integrity and reports to Office Manager any issues or concerns. Assists Receptionist – Check out with duties during peak periods. Processes faxes by pulling charts, attaching documents to charts requiring attention either to nurse, physician or office staff. Performs other duties as assigned or directed to ensure smooth operation of the organization. Education/Knowledge/Skills/Abilities: Preferred: Physician Office Practice Management System. Bachelor's degree or comparable work experience. Five year experience working in a physician office with comparable work experience. Required: Computer Usage/Windows Literacy. Microsoft Word/Excel. Calculator Skills. High school diploma, GED not acceptable. One year experience working in a physician's office with an understanding of insurance and billing requirements. Licensure/Certification: None required.
